  1. Define the project’s objectives and scope

This is the initial step involved in a project life cycle. While determining the project scope, you will find out the objectives and goals that need to be achieved in each stage of the project cycle. The best way to define the project’s objectives and scope is to jot down everything on a notepad. While doing this, ensure that you are thinking with a broad perspective considering all the focus areas of your project and ideologies you want to implement in near future. So, Clearly define the goals and objectives of the project, and establish the parameters of what is included/required and is not included in the project’s scope. Since it is one of the most important project management steps, you should pay close attention while defining your objectives and scope.

  1. Create a project plan & Timeline

Develop a detailed plan that outlines the tasks, timelines, and resources needed to complete the project. This plan should include a project schedule, a budget, and a list of project deliverables. Project Planning is the next crucial step you should take after defining the project scope.  This step also involves setting a project timeline. So, determine the time you need to complete each stage of the project. To do this, you need to ask yourself the following questions:

  • What are the tasks that need to be completed before delivering the end result?
  • When is your project going to be complete?
  • How much time do you require to assign to each stage of the project cycle

While planning your project, ensure that you start by preparing a schedule and task workflow as per resource availability. 

  1. Assess Your Resources & Assign tasks and responsibilities

Before proceeding ahead with implementation, you need to make a checklist on the availability of resources. Many projects require certain infrastructure and specialized expertise in certain areas. Not having enough or apt resources can hamper your project, therefore you need to ensure that you have adequate resources such as infrastructure and the right talent. 

Once you assess your resources and everything is good to go, Delegate the project related tasks to your team. Consider the strengths and expertise of each team member before assigning them their individual responsibilities for the project. It is imperative to assign the right task to the right person, so you can focus more on monitoring and managing the project. 

  1. Monitor progress and adjust as needed

Once you and your team start implementing the plan and the “execution” is in motion, your key responsibility as a project manager is to track the progress and ensure that everything gets done smoothly. You can use project management software to track the work progress of your team. You will be able to operate effectively with the right project management software, nothing will slip through the cracks since each of your team members will be able to see what needs to be done along with their timeline. 

So, ensure that you regularly track and monitor the project’s progress, and make adjustments to keep the project on track and on budget. Progress tracking must be done throughout the timeline of the project from beginning to end.  Set KPIs while planning the project. implement the required steps to meet your goals and then match the results with your determined goals and targets.

Establish clear lines of communication within your project team, and ensure that all stakeholders are kept informed of the project’s progress. Identify project risks. To do this you can conduct a brainstorming session with your team members and stakeholders. Identify potential risks and develop contingency plans to mitigate or avoid them.

Having a good Project risk management strategy is crucial to overcome challenges. If your risk management plan is firmly entrenched in your daily operations, you will be able to identify of the way before it actually wreaks havoc in your project.

Implement quality control procedures to ensure that the project meets the required standards and client expectations. Moving On, the best way to ensure that everything falls into place at the end is to constantly monitor the progress. Monitoring and controlling each operational stage of the project allows you to measure the overall performance and check the results with your determined targets. 

At this stage, you should pay special attention to the project’s objectives. Check if your project meets all the objectives and criteria set during the ideation and planning stage. If not, then you need to improve the end product and make the required changes in order to achieve your project goal.
